Measured quantities, your prices, one total.

How do I measure on site?

Type lengths and areas on the phone, read them from a Bluetooth laser or draw them on the map. Anything missing is flagged before a price exists.

What is an assembly?

One measurement that expands into every line. A composite terrace per m² becomes boards, joists, fixings and labour; a roof area becomes membrane, battens, covering and labour.

Can I see my margin while I quote?

How is VAT handled?

21%, reduced rates, reverse charge, or not a VAT payer. The country pack sets the rules and the document numbering.

How long is an estimate valid?

Each estimate carries a validity date the customer sees. Until then its prices are fixed; after that you requote at today’s supplier prices in one step.

What if material prices change after I send?

The change is flagged with its effect on your margin. You raise your price or accept the lower margin; sent estimates keep theirs.

Customer page & acceptance

No account, no app, one exact version.

Do my customers need an account?

No. They open a page or PDF from your email, review the exact version and accept it.

How does the customer accept?

They open the page, tick the options they want, verify with a 6-digit email code and accept. Name, time and the exact version are recorded, and the signed PDF goes to both sides.

Is an email code enough to accept?

It is a simple electronic signature with a full evidence record. For larger or business work you can offer Smart-ID or Mobile-ID per proposal.

What evidence is kept?

Name, time, version and the document hash, plus the signed PDF. Sent, opened, questions, versions and the acceptance are kept in order, with times.

Can the customer ask a question on the page?

Yes. A question lands in the replies queue with an owner and a due time, and it stops the follow-up sequence.

Does opening the page count as a reply?

No. Views and option clicks do not count. Only a reply, a question, a decline or an acceptance stops the follow-ups.

Can the customer see the payment plan?

Yes. The exact version shows the scope, the options, one total and the payment plan with its dates, for example 30% advance, 40% at start of works and 30% on completion.

Accepted stays accepted.

What happens to the version after acceptance?

It is locked. Scope, prices and payment plan cannot change; the signed PDF and its hash stay with the job.

Can I edit an estimate after sending it?

Not the sent version. A change becomes version 2; version 1 stays on record and the customer accepts the one they want.

What if the customer wants a change after accepting?

You send a change order. They accept it the same way, and it becomes part of the job and the final invoice.

Send version 2 with the change. Version 1 stays on record and the customer accepts the one they want.

How do I handle hidden damage?

The crew reports it with photos; you send a change order and that work starts after the customer accepts.

Does a price book change affect sent estimates?

No. Sent estimates keep the prices they were sent with. Price changes are versioned, dated and approved.

Follow-ups & replies

Silence, replies and reminders.

When are follow-ups sent?

Day 3, day 7 and day 14, then a call task for you. Between 8:00 and 19:00 in the customer’s time zone, never on Sundays, and at most one message in 2 days per person.

What happens when a customer replies?

Follow-ups stop within 60 seconds. The reply lands in a queue with an owner and a due time, and the office can answer it without seeing prices.

Will customers feel chased?

At most one message in 2 days, only in business hours, and the sequence stops the moment they reply.

Which channels do follow-ups use?

Who answers replies?

Yes. Every email and SMS shows sent, delivered, opened, bounced or replied. A bounced address is flagged for a fix, never dropped silently.

SMS to customers is charged at cost, only with their consent, and capped per estimate.

How are unpaid requests chased?

On a schedule you can see before it runs: advance +3 and +7 days, invoices −3, +1, +7 and +14. Reminders stop the moment a bank payment is matched. No automatic fees.

What is the daily digest?

Two minutes every morning at 07:30: what needs you, what goes out today, what expires this week and what was paid yesterday. Never sent to a customer.

How is the close rate counted?

Won ÷ decided, by month, trade and value band, from real acceptances. Small samples are marked; quotes still waiting are not counted.

How can customers pay?

Bank link, transfer, card (Visa, Mastercard, Apple Pay and Google Pay) or cash with a KPO receipt. Bank payment is shown first because it is free.

Can my customers pay by card?

Yes, if you turn it on. Bank payment is shown first because it is free. The card fee (1.4% + €0.25) is yours, or you pass it on to business customers; consumers never pay it.

Is there a surcharge for the customer?

Never for consumers. The card fee is 1.4% + €0.25 per payment; you pay it, or pass it on to business customers as its own line.

When does the money reach my account?

Bank links and transfers go straight to your account. Card payouts arrive in 2 working days.

What counts as paid?

Only a payment matched to a document from the bank, by purpose and amount. Unmatched money waits for a person.

How does the bank feed work?

A read-only connection to your bank. Exact matches are counted within minutes, and the consent is renewed every 180 days. Team and Business.

Can my customers pay monthly?

A proposal over €5,000 can show a monthly example from a licensed financing partner. The customer applies with the partner; you are paid as usual.

What if a customer pays cash?

Record it with a cash receipt (kasos pajamų orderis) signed on your phone. It counts as received when signed and goes to your accountant in the monthly export.

Can I collect on site?

Yes. Show a QR code at the walkthrough from your phone, or let a crew lead do it with the Collect payments permission.

What about overpayments and refunds?

Overpayments and refunds are recorded as evidenced entries. Refunds are approved by an owner or an estimator.

Do reminders add late fees?

No. There are no automatic fees. Reminders follow a schedule you can see and stop the moment a payment is matched.

Lithuanian documents, never retyped.

Can I issue invoices in Lithuania?

Drafts work from day one. Issuing invoices is enabled once the Lithuanian document rules are approved by an adviser, and setup shows that status openly.

Is an advance request a VAT invoice?

No. It asks for the advance; the VAT invoice follows after the completion act, as the Lithuanian rules expect.

Business customers get documents with the reverse-charge note and no VAT line, from the country pack.

What is the completion act?

It is signed with the customer on the phone at the handover. The final VAT invoice is issued from it, and the warranty dates start from it.

Can I correct an issued invoice?

Not by editing. Corrections are credit notes and voids with a reason; an issued document is never changed.

Is the job created automatically?

When the advance is matched, the job is created from the accepted version with its scope, customer and dates. You assign the crew.

Which roles exist?

Owner, estimator and office. Owners and estimators approve prices and proposals; office staff send proposals, record payments with evidence, answer replies and book visits without seeing margins or job costs. Business adds subcontractor roles and read-only accountant access.

Where is my data stored?

What does it cost?

Planned Starter pricing is €39 monthly, or €372 per year (€31 a month), excluding VAT. Accounts are not open yet. Book a free demo to discuss the proposed plans.

What is in each plan?

Starter: one person who quotes, 15 estimates a month. Team: owner, office and crews, unlimited estimates, invoices, the crew app and the bank feed. Business: several crews and an accountant, Smart-ID, Peppol, accounting sync, API and priority support.

What does yearly billing give me?

Two months free: €31 instead of €39 on Starter, €71 instead of €89 on Team, €143 instead of €179 on Business, per month.

Do prices include VAT?

No. Prices are per workspace per month and 21% VAT is added on the invoice.

What counts as a user?

Anyone who signs in to the workspace. Customers never need an account and crew app users are free.
