Every lead has a next step.
From first call to site visit to quote sent. A deal without a next step turns amber; a quote promised and not sent turns red.

Step 1 of 5
Measured quantities meet your own price book. The example includes six scope lines and the chosen window-sill option.
No sound or autoplay. Choose any step to read at your own pace.

Check the scope, VAT, total and payment plan. Internal costs stay private. Your approval is the next step.
If the customer has not replied, AI can prepare a follow-up. You read, edit and approve it before it would be sent.
The customer reviews the same scope and total, confirms with a one-time code and accepts that version. A later change needs a new version.
The 30% advance is €6,953.63. An accepted quote is still not money received; payment would count only after matching it to evidence.
Why switch
Most teams quote in Excel, Word or PDF, send by email or messenger, and chase from memory. Every step leaks a little money.
Everything after the site visit
Every estimate, version, invoice and payment keeps its own status, so the office and the crew see the same truth.
From first call to site visit to quote sent. A deal without a next step turns amber; a quote promised and not sent turns red.
A customer accepts one exact version. Changes become a new version they review again.
Day 3, 7 and 14, in business hours, from your own address. Any reply stops the rest within 60 seconds — and you preview every send first.
Hi Rasa, did you get a chance to review the proposal for your terrace and pergola? I am happy to answer any questions.
No account, no app: scope, payment plan and total of the exact version you sent.
A payment counts only when it is matched to a reference or a bank statement.
Every reply gets a bucket, an owner and a due time. The office can answer without seeing prices or margins.
Won ÷ decided, by month, trade and value band. Small samples are marked; quotes still waiting are not counted.
What needs you, what goes out today, what expires this week and what was paid yesterday. Sent at 07:30, never to a customer.
Roof type, decking grade, lighting: the customer ticks options on the proposal, the price updates, and the accepted version records the choice.
Approval shows the margin. A discount ask opens a counter-offer, an owner override with a reason, or a smaller scope — never a silent 10% off.
Three days after the completion act the customer gets a thank-you: a rating, a Google review link, a referral link worth €50 to both sides, and the warranty in plain words.
How it works
Each step is its own record with its own status — so a quote never pretends to be money.
See it with your own price book.

Enter measured quantities on your phone. Anything missing is flagged before a price is calculated.

For your customer
No account and no app. Your customer reviews the exact version you sent, confirms with a one-time code and accepts. You both keep the same record.
Scope, total and payment plan of the version you sent. Also as a PDF.
A code goes to the customer’s email or phone. No account, no password.
You both get the accepted version with name, time and a signed PDF.

Setup
No implementation project and no demo tour. Six short steps, then you start with a real customer.
Name, VAT code, address and IBAN. VAT rules and document numbering come from the country pack.
Enter or import your prices and confirm every row.
Add the quotes you already sent — 30 seconds each, or forward the email. Follow-ups start from the real dates.
Day 3, 7 and 14 in business hours. Preview exactly who gets what before anything is sent.
Advance, bank account and reminder schedule. Reminders stop the moment a payment is matched. No automatic fees.
Invite the office as reply handler: answers replies and books visits without seeing prices.
After setup you start with a real customer. The first quote you send with follow-ups on is the first milestone, not the signup.
Trust and control
Owners and estimators approve prices and proposals. Office staff send proposals and record payments with evidence.
Each confirmed price keeps who set it and when. A new price book version never changes a sent proposal.
Proposals are approved before they go out. Follow-ups keep to business hours and can be paused per proposal.
The crew reports what they find with a photo. You turn it into a change order the customer accepts on the link before the work is done.
Every email and SMS shows sent, delivered, opened, bounced or replied. A bounced address is flagged for a fix, never dropped silently.
Every important change is kept in an audit trail that cannot be edited.
Customers pay you directly. Helmar.AI never holds customer funds or card details.

Principles
An estimate is an offer. An advance payment request is not a VAT invoice. Separate numbers, statuses and rules.
Quoted value is potential work. Only payments matched to your bank count as money received.
Once a customer accepts a version, it is locked. Changes create a new version they see again.
AI can draft the message. You review and approve it before it is sent from your address in business hours. Any reply stops the sequence.
